Customer story — Paul Logistics Inc., Tulsa, OK
About Paul Logistics: Based in Tulsa, Oklahoma, Paul Logistics runs a fleet of roughly 350 flatbed trucks alongside dedicated fleet services, LTL, and a freight brokerage. Flatbed is among the most documentation-heavy freight there is — permits, securement, state-by-state requirements — which makes compliance a daily operational job rather than a quarterly one.
When Jim Kennelly looked at moving Paul Logistics onto a new permit system, the part that worried him wasn't the software. It was the data.
Hundreds of tractors and trailers. Registrations, permits, insurance — years of documents living in a system that was about to stop being the system. Every fleet manager who has ever changed platforms knows the feeling: the product might be better, but the migration is going to eat your month.
He'd blocked out more than a week.
It took a few hours.
Why Fleet Document Management Breaks Down at Scale
Paul Logistics wasn't running on paper. They had a permit system. What they didn't have was a system that understood which documents belonged to which driver right now.
A driver isn't in the same truck every week. Equipment gets swapped, trailers get reassigned, units come in and out of service. If the software can't follow that, then someone has to — manually connecting documents to equipment, and re-connecting them every time something moves. That's the job nobody budgets for and everybody does.
Their previous system couldn't auto-assign documents based on a driver's current equipment, and there wasn't much room to customize around it. So the linking stayed manual, which meant it stayed behind.
Migrating 5,000+ Documents in an Afternoon
Jim uploaded over 5,000 documents. Digital Permit Book's AI read them and linked each one to the correct tractor or trailer — no spreadsheet mapping, no manual assignment pass.
"That's pretty crazy how fast that went."— Jim Kennelly, Director of Safety, Paul Logistics
On the driver and equipment side, Digital Permit Book syncs with their Samsara ELD, so drivers and units stay current without anyone maintaining two lists.
The Expired Documents Nobody Could See
Once everything was uploaded and linked, the expiration dates were finally visible in one place — and Paul Logistics found hundreds of expired documents.
Not documents that expired during the migration. Documents that had been expired, sitting in a system that had no practical way to surface them.
This is the part of going digital that doesn't show up in a demo. The value isn't that the software stores your documents; your old system stored them too. It's that the software knows what's expired and tells you before an officer does. You can't fix a compliance gap you can't see, and most fleets are carrying more of them than they'd guess.
At the Roadside Inspection, It's One Tap
The test of any permit system is a driver at a scale house with an officer waiting. Under 49 CFR Part 390, carriers are responsible for making required documentation available — and "it's in the binder somewhere" has never been a good answer.
For Paul Logistics drivers, that's now one tap. Everything the driver needs for that truck, that trailer, that inspection — pulled up in a single click, current, with nothing else in the way.
No calling the office. No binder. No hoping the copy behind the seat is the current one.
If You're the One Dreading the Migration
The reason fleets stay on systems they've outgrown is almost never that they like the system. It's that moving is presumed to be a project — weeks of data entry, a stretch where nothing's reliable, and the real possibility of ending up worse off than you started.
That assumption is about a decade out of date. When document parsing and equipment linking are automatic, the migration stops being the hard part.
Paul Logistics braced for a week and was running the same day.
"The system is straightforward, reliable, and has simplified a process that can otherwise become extremely cumbersome with a large fleet. I would highly recommend them to other motor carriers looking to improve their permit and document management process."— Jim Kennelly, Director of Safety, Paul Logistics
